Vanguard Academy Charter School is inviting bids/proposals for the district’s bids posted below.

Vanguard Academy reserves the right to accept or reject any or all bids and to waive any or all formalities.

RFP-011

Q: I didn’t see anywhere on the RFP that says that you want an extended warranty. Are you interested in a 3yr warranty? With or without ADP?

A: For chromebooks it can be a line item as optional for ADP. Optional purchase please.

RFP-012

“NVR 30TB storage minimum (Wisenet/Axis or equivalent)

Q: Just want to make sure it’s apples to apples, so could you clarify on the storage requirements?

A: we are looking for a minimum 45 day retention period.

Q: You requested Boring or Aerial fiber for those schools that needed fiber, will a Wireless Bridge solution be acceptable ?

A: No bridge at this time

Q: On Page 2 of the RFP it states "network riser cable", does that mean you are requesting CMR CAT6 Blue cabling for this installation ? Normally CMP CAT6 Blue is used for school campuses.

A:Yes CMR is acceptable

Q: On Page 2 of the RPF it states the standard of 568A for all cabling, is your school district currently using only 568A ?

A: Use 568B please

Q: On Page 3 of the RFP you stated you want 110 termination, would modular patch panels and keystones be acceptable ?

A: Yes acceptable

Q:Is the fiber you are requesting OM4 or other ?

A: OM3 and up

Q:Does the fiber need to be armored ?

A: Yes

Q:We noticed you are requesting LPR cameras, the documents handed at the walkthrough do not have the LPR camera placement (blue dots), can you describe where these cameras will be ? If they will be at Guard Shacks, is there connectivity to the guard shacks? If not, will a wireless bridge be acceptable to the shacks?

A: Guard Shacks are not part of the scope of this project. The cameras will be pointing in the direction of the shack.

Q:We notice there is Monet Elementary on the RFP but there was not a walkthrough done at Monet? Do you have documentation for Monet ?

A:Yes we can send via email.

Q:What is your current Video Managment System ? Name and Version.

A: Wisenet VMS

Q: Will these cameras be integrated into that system or separate ? or will existing cameras be integrated into this new system?

A: Integrated if wisenet/Axis. We are also accepting proposals of separate VMS if Axis or Meraki or equivalent.

IFB ID-24-25

“The Academy intends for surplus food commodities to NOT be included in menus.”

CNP receives USDA commodities that will only be used in the self op sites and not in vended meal sites.

We also want to request clarification on what information needs to be included on records/delivery tickets for TX-UNPS.

Daily delivery food tickets that monitor temperature and amounts received form vended meal kitchen site by meal service. Daily Food Production Records for the Breakfast, Lunch and After School Snack programs.

“The successful bidder(s) shall prepare records, such as delivery tickets, necessary for the TX-UNPS”

We wanted to also verify the contract date. The IFB states that the term is August 12, 2024 - May 29, 2024.

Contract includes First day of school August 12, 2024 thru last day of school May 29, 2024 and summer school; if district chooses to participate in summer school services. 2025 Summer plans and schedule will be notified in February 2025.

“The successful bidder(s) shall furnish and serve meals as ordered by the Academy from the first day of the school year, Monday, August 12, 2024 to the last day of the school year, Thursday, May 29, 2024.”

Vendor will be responsible to furnish each site with all the hot holding equipment and cold holding equipment required to keep compliance with HACCP plan and food safety local and state requirements.

Lastly, we understand equipment will be on loan to Vanguard for the duration of the contract. Would any maintenance or issues that arise be the responsibility of the charter or the vendor.

All equipment maintenance and repair is responsibility of the vendor.
